  • before being appointed as a solutions provider;
  • when clients engage us as their solutions provider; and
  • when we provide our solutions and services to clients.

If you represent or work for a client or prospective client of CareVision CMS (UK) Ltd (CareVision), your personal information (such as contact details, role, responsibility, and engagement with us), will be processed in accordance with this statement, but only in the context of the client’s engagement with us.

If you are a sole trader or a partnership, any information relating to your business will treated by us as being your personal information.

Overview of how we use your personal information

We have summarised below how CareVision uses your personal information.

Responding to your enquiries and engaging with you as a prospective software solution provider for the business you represent or work for.

Providing our software solution to the business you represent or work for.  This includes onboarding, sending non-marketing communications such as service messages and information regarding events.

Protecting our legal rights; administration, quality, and training; and system and product development.

Images or sounds captured during the recordings of product demos

(i) improving how we conduct product demos and interact with potential clients, (ii) training and system development purposes, and (iii) ensuring we accurately record any commitments we give to prospective clients in a product demo.

Personal data collected via the website

(i)To answer enquiries or provide customer support via the WhatsApp chatbot.(ii) collection of data use of essential and non-essential cookies on the CareVision website.

What do we use your personal information for?

Promoting CareVision’s software solutions

We may obtain your personal business contact details (such as email, telephone number, address, position) from you, or from publicly available sources (like LinkedIn). If you have attended an event (including an event we may host through a third-party provider), we may also receive these details from the event organiser or third-party provider

When we promote our solutions and services (“solutions”) or respond to your request to receive information about them, we will process your personal information to contact you in respect of, and provide you with information on, those solutions.

You may also have signed up to receive our newsletter and information about our solutions. When you did, you provided your consent for us to do this.

In either case, if you no longer wish us to contact you, please let us know. You can withdraw your consent or opt-out of receiving our newsletters and direct marketing emails at any time.

 

Enquiries

If you enquire about our software solution (including through our contact page or a request to book a product demo) we use information you provide as part of that enquiry, or in subsequent related communications, only for the purposes of:

  • contacting you in connection with our solutions;
  • providing you with information about our solutions;
  • demonstrating our solutions; and
  • responding to, progressing, and managing your enquiries and requests.

You can object at any time to our processing of your personal information for these purposes, including by emailing us at privacy@care-vision.co.uk. However, we may not then be able to respond to your enquiry or provide you with further assistance.

 

Product Demos

If you request a demo of our software solution, we will record the demo using Microsoft Teams. We will only ever record the demo with your consent and use the personal information captured in the recording for the purposes of (i) improving how we conduct demos and interact with potential clients, (ii) training and system development purposes, and (iii) ensuring we accurately record any commitments we give to prospective clients in a demo. You are entitled to withdraw your consent for our use of your personal information in this way at any time, including by emailing us at privacy@care-vision.co.uk. However, withdrawing your consent will not affect the use of your personal information before the consent was withdrawn.

 

Engaging us as your solutions provider

When we provide our services, we will collect and use your personal information. Any personal information you give us, or which we obtain, when providing our services will be used for:

  • providing our services in accordance with our contract with our client (the business you work for); and
  • managing our relationship with our client.

 

Other uses

Enforcing legal rights

We will use your personal information for the enforcement or protection of our legal rights.

Administration, quality, and training

We will use your personal information to:

  • help administer our business (including in accordance with legal or other obligations we must meet);
  • manage our relationship with you;
  • maintain quality standard; and
  • design and deliver internal training.

System and product development

Your personal information is used to support the development and improvement of our systems and products. This can include using your information for:

  • the purposes of surveys; and
  • providing your personal information to third parties so they can provide services to us in respect of system and product development or improvement in accordance with our instructions.

Legitimate Interest. You may opt out of marketing communications at any time by unsubscribing on the newsletter or by emailing privacy@care-vision.co.uk.

Enquiries

Your personal information is processed in this way, either:

  • to take steps at your request prior to entering into a contract with you; and/or
  • in our legitimate interests for the conduct and management of our business including, most importantly, giving the business you represent the best service and products we can and meeting your expectations.

Consent. You can withdraw your consent at any time, including by emailing privacy@care-vision.co.uk.

Provision of solutions

Unless otherwise stated, any personal information you give us when providing our services to you will be used for:

  • providing those solutions and services in accordance with our contract with you, or the business client you represent;
  • managing our relationship with you (or the business client you represent), to ensure our respective contractual obligations are met;
  • meeting our legal obligations; and
  • our legitimate interests in conducting and managing our business (as described above) including administration, quality, and training, system and product development, and enforcing our legal rights.

When we process your personal information for our legitimate interests, we make sure we have considered and balanced the potential impact on you and you have the right to object to this processing. You may exercise this right by writing to us at our address or by emailing us. If you do object, this may affect our ability to provide our solutions and services to you or the client you represent.

Who else gets your personal information?

CareVision CMS UK Ltd does not disclose your personal information for a business purpose except as set out in this Privacy Statement. Your personal information is never otherwise sold or shared to third parties.

To help us provide our solutions and services, we may share your personal information with third parties who provide services to us, including:

  • information technology and information services providers;
  • other third-party service providers; and
  • professional and other third-party advisers.

These third parties can only use the personal information we share to provide their services to us or to support our delivery of our services to you.

Your personal information may also be shared with third parties in accordance with your written and verified instructions, or in accordance with legal obligations imposed upon us.

Your personal information is not shared with anyone else.

Transfers of personal data

CareVision is based in the U.K.  Your personal information will be transferred only for use by CareVision for the purposes described in this privacy statement.

Transfers to the European Union will be protected by adequacy status as recognised by the UK.  Transfers to other jurisdictions are subject to safeguards as prescribed by law. How long do we keep your personal information?

Your personal information is kept for up to seven years after the year you have ceased being your solutions provider, except in the case of personal information processed in connection with an enquiry but where we were not appointed to provide our solution, which we retain for a limited period after we last heard from you.

Recordings of demos will be retained for a period of 60 days after the date the demo was provided or, if earlier, when your consent is withdrawn.

Where there is a legal obligation to retain your personal information for a longer period, then we will retain it for the period required by that obligation.

What are your rights?

Accessing, deleting, rectifying and moving your personal information

Accessing, deleting, rectifying and moving your personal information – You have the right to:

  • access your personal information;
  • require us to delete it; and/or
  • correct it;
  • object to our processing of your personal information

If you want to exercise these rights, please let us know. You will need to provide sufficient information to verify and complete your request. We will complete your request within thirty days, subject to any legal or other requirements that requires us not to complete your request, in which case we shall inform you of this where we are permitted to do so.

Lodging a complaint

You can at any time complain about our processing of your personal information. If we are unable to resolve your issue, you can lodge a complaint with your local data protection authority.
